Assign & Manage Interviewers
TL;DR — Interviewers (called hosts internally) are added per interview event type, not per campaign. Open the campaign's interview stage, click Manage interviewers, then add team members one at a time. Pick a scheduling type — Round-robin, Collective, or Managed — to control how candidates are matched to a host when they book.
Before you start
- Requires: Admin role.
- The team member you want to add must already be in your organization. To invite someone new, see Invite a Team Member.
- Hosts also need to set their availability schedule before candidates can book with them — see Set Your Availability.
Open the interviewers panel
- From the Campaigns page, open the campaign.
- On the campaign detail page, open the Stages tab.
- Find the interview stage you want to manage. Click into it to open its event-type details.
- Click Manage interviewers. The hosts page opens with the back-link to the campaign at the top.
You can also reach the hosts page directly from the Interview Event Types library (under Campaign settings), independent of any campaign — useful when an event type is reused across multiple campaigns.
Scheduling types
The hosts page header shows a badge with the scheduling type for this event type. The type is set when the event type was designed (see Configure an Interview Stage) — but it's worth knowing what each does:
| Type | What candidates see | What hosts see |
|---|---|---|
| Round-robin | One slot per available host. The system picks a host based on priority and load. | Each host sees only their own bookings |
| Collective | One slot covers all hosts at once — the candidate gets the whole panel | All hosts on the slot share the booking |
| Managed | No self-booking — the team books on the candidate's behalf | The team picks the host when scheduling |
If you need to change the type, do so on the event type itself, not on the hosts page.
Add a host
- On the hosts page, click + Add interviewer at the top-right.
- A dialog opens with a search box. Start typing the colleague's name or email.
- The list shows team members not yet assigned to this event type.
- Pick the team member.
- (Optional) Set their priority — see below.
- (Optional) Toggle Accepts bookings off if you want to add them but not let candidates book with them yet.
- Click Add. The host appears in the list and the dialog closes.
To add multiple at once, repeat the dialog — there's no bulk add.
Host priority
Priority only matters for round-robin event types. It's a number from 1–10 (default: 5):
- Higher numbers get more bookings — when two hosts have the same load, the higher-priority one is offered first.
- Same priority — load-balanced equally based on existing bookings.
A common pattern: senior interviewers at priority 7–8, juniors at 3–4 — seniors handle more interviews, juniors get exposure when seniors are full.
For collective and managed event types, priority is ignored.
Pause a host
When a host is on leave, busy with other work, or no longer interviews this round, you can pause them without removing them entirely:
- Hover the host row and click Edit (pencil icon).
- Toggle Accepts bookings off.
- Save.
Effects:
- New candidates won't see this host's slots until you re-enable.
- Existing confirmed bookings with this host stay — paused hosts still need to attend their scheduled interviews unless you reassign.
When the host is back, edit again and toggle Accepts bookings on.
Preview a host's availability
To check whether a host has set up their schedule before relying on them:
- Click the Preview availability icon (calendar) on the host row.
- A dialog opens showing the host's weekly schedule and date overrides — the same view they edit in their own Availability page.
- Read-only — close to return.
If the dialog shows "No schedule configured", the host hasn't set their hours yet. Round-robin will skip them until they do.
Remove a host
To remove a host entirely:
- Hover the host row and click the Remove icon (red minus).
- Confirm the action in the prompt.
- The host disappears from the list.
Removing a host:
- Stops new candidates from being offered their slots.
- Does not cancel existing confirmed bookings — those stay until the booking date or until you explicitly reassign them.
If you need to handle existing bookings, reassign them first (see below) before removing.
Reassign a confirmed booking
If a host can no longer attend an interview, you can reassign the booking to a different host:
- Open the candidate's application.
- In the Stage Progress timeline, find the interview stage and click View booking.
- On the booking detail page, click Reassign host.
- Pick a different host from the dropdown — the dropdown only lists hosts on this event type.
- Confirm.
Effects:
- The booking time stays the same; only the host changes.
- Both the candidate and the new host get a notification with the updated meeting link.
- The original host is no longer associated with the booking.
If you need a different time too, reschedule instead — see Book an Interview → Reschedule. The reschedule flow on the manager side has the same controls plus a host picker.
Troubleshooting
| Symptom | Cause | Fix |
|---|---|---|
| + Add interviewer dialog has no candidates | Everyone in the org is already a host on this event type | Remove someone first, or invite a new member |
| Host is in the list but candidates never see their slots | Host's schedule is empty, or Accepts bookings is off, or this is a managed event type | Use Preview availability to check; toggle Accepts bookings on; for managed events, candidates never self-book |
| Reassign host dropdown is empty | No other host is configured on this event type | Add at least one other host before reassigning |
| Reassign succeeded but the host didn't get a calendar invite | Their email or calendar integration is misconfigured | Open their Profile and check the calendar status |
| Round-robin keeps picking the same host | Other hosts have lower priority or no schedule | Bump priorities up or add more availability |
| Removed a host but they still appear on a confirmed booking | Bookings keep the host they were created with | Reassign the booking explicitly |
