Book an Interview

Before you start

  • The interview stage must be active. If it's locked, complete the stage above it first.
  • Some interviews are scheduled by the admissions team instead of self-booked — see Interviews scheduled by the team below for what to expect.
  • Have a few candidate dates and times in mind. Slots are first-come, first-served.

Open the interview stage

From your Application Timeline, find the active interview stage and click Schedule Interview. The page shows the interview title, the duration, and (if the institution added one) a short description.

Use the back arrow at the top-left to return to the timeline at any time without booking.

Choose video or in-person (hybrid only)

If the interview is hybrid (the institution offers both options), you must pick a mode before the calendar appears:

  • In-person — shows the address provided by the institution. Travel to that location at the booked time.
  • Video call — generates a meeting link that appears on the confirmation page after you book.

For non-hybrid interviews, the mode is fixed (video, phone, or in-person) and chosen by the institution. You'll see it noted on the page but you don't choose.

Pick a date and time

  1. The calendar shows the current month. Days with no available slots are greyed out; days with at least one slot are clickable.
  2. Click the chevrons above the calendar to move month-to-month.
  3. Click an available day. A time slot list appears next to the calendar with every open slot for that day.
  4. Click a slot to select it. The slot becomes highlighted; the Confirm button activates.

Slots are shown in your timezone (see below). Each slot is the full interview duration — for example, a 30-minute interview at 10:00 ends at 10:30, so the next slot starts at 10:30 (or later, if there's a gap).

Set your timezone

A timezone selector appears above the calendar. It defaults to the timezone your browser reports.

  • Open it to change to a different timezone if you'll be travelling, or if your device is in the wrong timezone.
  • Changing it re-displays every slot in the new timezone — the actual interview time on the institution's side does not change.
  • The timezone you confirm with is saved with the booking, so the interviewer knows which clock you're working from.

Add notes for the interviewer

A Notes field at the bottom is optional. Use it to share anything the interviewer should know before the call — for example, "I'll be on a phone, video may cut in and out" or "Please call me Sam". Notes are visible to the interviewer once you confirm.

Confirm the booking

When the slot is selected (and, for hybrid, the mode is chosen):

  1. Click Confirm Booking.
  2. The button shows a spinner while the slot is locked in.
  3. On success, the page replaces the calendar with a Booking Confirmation.
  4. You see a "Interview scheduled successfully" toast at the bottom of the screen.

If the slot was taken between the time you opened the page and the time you clicked Confirm, you'll see an error toast — pick a different slot and try again.

After booking

The Booking Confirmation page shows:

  • The date and time in your timezone, and again in the interviewer's timezone.
  • The meeting link (video or hybrid-video) — click to join when it's time. Save it; it's also emailed to you and visible on the stage card on your timeline.
  • The address for in-person or hybrid-in-person interviews.
  • Buttons to Add to calendar (downloads an .ics file) and to Reschedule the booking.

Back on your Application Timeline, the stage now shows the booked time and a View Interview Details button that re-opens the confirmation.

Reschedule or cancel

To move your interview to a different slot:

  1. Open the stage on your timeline and click View Interview Details.
  2. Click Reschedule on the confirmation page.
  3. The booking page reopens with a blue Rescheduling banner. Pick a new date and slot the same way as before, then Confirm.
  4. The previous booking is released — you don't need to cancel it manually.

There's no candidate-side cancel button. If you need to cancel altogether, contact the admissions office; they can cancel from their side.

Interviews scheduled by the team

Some interview stages are configured for the team to schedule on your behalf. In that case:

  • The stage shows "Your interview will be scheduled by the admissions team."
  • There's no Schedule Interview button.
  • You'll get a notification once they book it. Open the stage to see the time and join link.
