Manage Your Tasks

Before you start

  • Requires: Admin, Campaign Manager, or Member role. Candidates don't see Tasks.
  • You'll need: nothing — tasks can be created blank. Linking one to an application, campaign, or contact is optional but useful for context.

Open the Tasks page

From the sidebar, click Tasks. The page lists tasks across the whole organization that you can see — what you see depends on your role and the relations on each task. The view has three zones:

ZoneWhat it does
Filter bar (top)Preset filters, status filter, and the + New record button
Bulk actions bar (appears when rows are selected)Mark selected complete, reassign, or clear selection
TableAll tasks with sortable columns and inline status / priority editing

Preset filters

Four mutually exclusive presets at the top of the filter bar:

PresetWhat it shows
All TasksEverything. Adds a Status dropdown (To do / In Progress / Completed / All) for finer control
OverdueTasks with a due date in the past, still in To do or In Progress
Due TodayTasks due any time today, still in To do or In Progress
Future TasksTasks due tomorrow or later, still in To do or In Progress

The All Tasks preset is the only one that lets you also filter by status — the other three already imply not yet completed.

Create a task

Click + New record in the top-right of the filter bar (or click the Add New row at the bottom of the table) to open the Create Task dialog.

Fields:

FieldRequiredNotes
TypeYesTo-do (general), Call, or Email. Drives the icon shown in the table
PriorityYesLow, Medium, High
StatusYesTo do (default), In Progress, Completed
TitleYesShort summary, e.g. Follow up on payment
DescriptionNoFree text for context
Due DateYesUsed by the preset filters and the overdue indicator
AssigneeNoPick a staff member, or leave unassigned. Excludes candidates
RelationsNoOptionally link to an application, campaign, or contact for one-click navigation later

Click Create Task to save. The task appears in the list immediately.

Edit a task inline

You don't need to open the dialog for the most common changes:

  • Status — click the status badge in the row to switch between To do, In Progress, and Completed. Anyone with Tasks access can do this.
  • Priority — click the priority badge to change. Only the task's creator can change priority inline; for others the badge is read-only.

Other fields (title, description, due date, assignee, relations, type) require opening the task — see Edit, delete, view details.

Complete a task

Two ways:

  1. Quick complete — click the row's status badge and pick Completed. No prompt, no note.
  2. Complete with note — click the row's actions menu (⋮ on hover) and choose Complete with note. A dialog asks for an optional Completion Note (e.g. "Candidate confirmed payment received"). Click Complete.

Completed tasks stay in the list — you don't lose them. Use the Status dropdown (or All Tasks preset) to filter them in or out.

Bulk actions

Tick the checkbox on multiple rows. A bulk actions bar appears above the table showing the selected count and:

  • Mark Complete — completes all selected tasks at once. No completion note.
  • Reassign — pick a team member from the dropdown to reassign all selected, or pick Unassigned to clear assignees.
  • X (clear) — deselects everything.

Use the header checkbox to select all visible rows. The bulk actions only apply to the current page of results.

Edit, delete, view details

  • Click anywhere on a row (except a control) to open the Task Detail Sheet — a side panel with the full description, relations, who created it, who's assigned, history, and a Complete button.
  • Edit — only available to the task's creator. Available from the row's actions menu (⋮) or from the detail sheet. Opens the same dialog as create, prefilled.
  • Delete — only available to the task's creator. Confirmation dialog asks you to confirm. There is no soft-delete: the task is gone for good.

Tasks tied to an application, campaign, or contact

A task can be linked to one of:

  • An application — the row's Relations column shows the application reference number, click to jump straight to it.
  • A campaign — shows the campaign name, click to open the campaign.
  • A contact — shows the contact name, click to open the contact.

The link is one-way (the task points at the relation), but the application / campaign / contact also surfaces its tasks in their own page (e.g., the Tasks section on an application detail page) — see Review Applications → Quick actions on a candidate.
